Introduction

For IPDP (Individual Professional Development Plan) administrators, the ability to efficiently manage and assign activity hours across multiple users is essential. This guide provides an overview of how IPDP admins can apply activity hours to multiple users simultaneously using the system's IPDP module.

A. Problem Statement

IPDP administrators may face challenges in distributing activity hours to multiple users, especially when ensuring that these hours are properly recorded and represented in each user's IPDP manager screen. This process can be further complicated if some users do not have an approved IPDP plan in place.

B. Solution

To streamline the process of applying activity hours to multiple users, IPDP admins can use the Add Multi-User Activity function within the IPDP module. This feature allows for the simultaneous allocation of hours, thus eliminating the need for individual entries and ensuring consistent record-keeping.

If you're an IPDP admin, you can apply activity hours to more than 1 user. Activity hours for each user will not be submitted for approval. For the users applied to, activity hours will appear in their IPDP manager screen as if they submitted it.

NOTE: You must be an IPDP Admin to do the following.

1. Go to the Tools dropdown and click on IPDP.

2. Click Add Multi-User Activity.

3. Fill in as detailed in the guide on how to create an activity hour, select users you wish to apply under Applicable Users, and click Save.

NOTE: If user is not showing, this means they do not have an IPDP plan that has been approved.

C. Best Practices

  • Pre-Approval Checks: Ensure all users have an approved IPDP plan before attempting to assign activity hours. This prevents the issue of hours not showing up due to lack of approved plans.
  • Accurate Data Entry: When creating a multi-user activity, pay close attention to filling out all necessary fields correctly and thoroughly to avoid discrepancies in user records.

D. Troubleshooting

  • Users Not Showing in Selection: If certain users are not appearing in the list of applicable users during the setup, verify that each user has an approved IPDP plan. Contact individual users to confirm their plan statuses or check their profiles for plan approval dates.
  • Activity Hours Not Reflecting: If activity hours do not appear in a user’s IPDP manager screen, ensure the save function was successfully executed and check for any system errors during the save process. If the problem persists, consider redoing the process or consulting system support for potential glitches.
