Introduction

In many organizations, procurement processes are managed through specialized software systems like SCView, which allows users to create and manage purchase requisitions. These digital systems streamline the purchasing workflow; however, they often come with rules and restrictions that dictate how and when certain actions, like deletions, can be performed. Understanding how to properly handle the deletion of a requisition in SCView is essential for maintaining the accuracy and integrity of procurement records within an organization.

A. Problem Statement

A common issue that arises in procurement management is the need to delete requisitions in SCView. This could be due to various reasons, such as duplicated entries, incorrect information, or changes in purchase needs. However, given the structured nature of workflow systems, the ability to delete requisitions is typically restricted and dependent on a user's role and the status of the requisition. This raises questions about when it is acceptable to delete a requisition and what the proper process is for doing so, without disrupting the procurement pipeline or violating organizational protocols.

B. Solution

To delete a requisition in SCView, there are conditions that must be met:

For a standard user

The requisition must be in draft status. Once the requisition has been submitted (even if it was returned), it can no longer be deleted. If the requisition is in draft status, you can delete by right clicking and selecting "Delete".

For an approver

If the requisition is in draft status, you can delete by right clicking and selecting "Delete".

If the requisition is in your workflow queue and you have permissions to delete, you can delete (must have Search privileges or be listed under "Items I affected" on the Requisition manager page).

If the requisition was returned, you can delete with delete permissions.

For an Admin

As long as the requisition has not reached the Submitted to USAS status and you have given yourself delete privileges, you will be able to delete from the requisition manager. You can do this by selecting the requisition and selecting "Delete" from the right click menu.

C. Best Practices

To maintain the integrity of the procurement process when handling requisitions in SCView, the following best practices should be observed:

  • Always double-check the details of the requisition before initiating a delete operation to confirm that it is the correct action to take.

  • Keep detailed records of all deletions, including the reason for deletion, to ensure transparency and enable audit trails.

  • Ensure users are adequately trained on the SCView system and fully understand the implications and permissions related to deleting requisitions.

  • Regularly review user permissions and roles to ensure that only authorized personnel have deletion capabilities.

D. Troubleshooting

When a requisition needs to be deleted, the first step is to determine the status of the requisition and the user's role in the system. The following steps can be taken:

  1. Identify the status of the requisition: Check whether the requisition is in draft status or has been submitted or returned.

  2. Clarify user permissions: Consider the user's role – standard user, approver, or admin – and understand the permissions associated with each.

  3. Attempt deletion: Right-clicking and selecting "Delete" is the general method for attempting to remove a requisition in draft status.

If the deletion is not successful, further investigation into the system's permissions and the current workflow status may be necessary. Check system logs for any error messages or consult the software documentation for additional guidance.

Conclusion

Deleting a requisition in SCView is a task that must be carried out with careful consideration of the system’s rules and user privileges. While there are limitations and specific conditions that apply to different user roles, understanding these conditions, along with adhering to best practices, ensures the process is handled correctly. By carefully managing the deletion of requisitions, an organization can maintain the integrity of its procurement processes and prevent potential complications that may arise from inappropriate deletions.
