Introduction

Managing digital clutter is crucial for smooth operations within any organization. This guide will provide step-by-step instructions on how to streamline your Form Campaigns page in SCView, enabling you to remove outdated or unneeded records effectively.

A. Problem Statement

Excessive accumulation of outdated records can clutter your system, potentially impeding the process of accessing relevant, useful information. This congestion can disrupt workflow and decrease efficiency.

B. Solution

The most straightforward solution to this issue is to delete outdated or irrelevant records. Although determining which form campaigns to remove requires careful consideration, SCView has simplified the deletion process. Here are the steps:

Determine How to Define a Deletable Form Campaign:

1. Before you decide to delete certain Form Campaigns, it's important to establish a clear criterion for determining which campaigns are no longer needed. Your organization might already have policies in place to guide this decision. However, if such policies don't exist, it would be beneficial to create a consensus among key stakeholders on what makes a Form Campaign obsolete. Remember, even if a document is old, it might still hold some importance or value to certain groups within your organization.

Access the Form Campaigns Module:

2. Navigate to Form Campaigns:

   - Go to Tools > Form Campaigns from your dashboard.

Find and Delete a Form Campaign

3a. Find a Form Campaign that you wish to delete.

3b. You may either click the X button in that Form Campaign's row or right click the Form Campaign and select Delete Changes from the context menu that appears.

Confirm Deletion

4. A confirmation popup window will appear. Choose 'Yes' to complete deletion of the Form Campaign.

Repeat as Necessary

5. Repeat Steps 3 and 4 as many times as necessary to delete unwanted Form Campaigns.

C. Best Practices

  1. Involve all stakeholders: Prior to deleting any records, ensure that all stakeholders are consulted. Policies may exist within your organization that determine how and when records should be removed. If there is no predetermined policy, collaborate with different groups in your organization to establish a plan, as documents may hold varying value for different teams.
  2. Regular Exports: It's recommended to periodically export the Form Campaign grid data. This creates useful external records that can be archived for future reference.

D. Troubleshooting

  • Faux deletion: In SCView, when a Form Campaign is deleted, it's not permanently removed but is hidden from view – a process we call "faux" deletion. This means that if you accidentally delete a Form Campaign, it can be restored by the SCView Support team, thanks to this faux deletion feature.

Conclusion

Maintaining a clean and organized digital space is integral to the efficiency of your organization. Regularly decluttering your SCView environment, particularly the Form Campaigns page, can significantly enhance productivity. Remember to consult all stakeholders before removing any records and make sure to utilize the 'faux' deletion feature if a needed record was mistakenly deleted. With these practices in place, navigating your Form Campaigns can be a smooth and efficient process.
