Introduction

The SCView database, an essential tool for administrative management, houses a crucial section known as Site Settings > General. Here, administrators can manage various organizational settings crucial for seamless operations and enhanced security. These settings encompass password rules, departmental configurations, email templates, mail server options, organizational details, and integration APIs. This detailed overview aims to simplify the navigation and management of these settings, ensuring that all admin users can effectively tailor the system to meet their specific organizational needs.

A. Problem statement

Navigating and managing the diverse configurations within the SCView database Site Settings > General can be a daunting task for administrators. This complexity arises from the variety of settings available, ranging from password requirements and departmental allocations to more advanced protocol settings like mail server configurations and API integrations. Inadequate management of these settings could lead to security vulnerabilities, inefficient operations, and misaligned department functions.

B. Solution

To address these challenges, it is essential that administrators are equipped with clear instructions and a proper understanding of each section within the Site Settings. Providing step-by-step guidance and troubleshooting support can significantly ease the process. Additionally, it is vital to restrict access to sensitive adjustments (like API and mail server settings) to specialized support staff to minimize risks. By ensuring that each administrator receives the requisite training and resources to navigate and configure settings effectively, organizations can maintain robust security protocols, efficient operational flows, and accurate department alignments within the SCView Database.

Overview steps:

Every SCView database has a Site Settings > General section. Here you can find Classic password requirements, Departments, SCView email template, Mail Server settings, Organization and Integration API settings.

Note: To access Site Settings, you must be an Admin.

Go to Admin > Site Settings > General.

2. Password Section

5. Organization

The Organization section will have your database's basic Name, Primary Phone and Primary Website. By default, Name is filled out matching the database name. Please reach out to Support for more assistance with or information on this.

6. Integration API

This section will list a single Security Token option. This deals with encryption and security and goes outside the scope of this guide. Please reach out to SC Strategic Solutions' Support staff for more assistance with or information on this.

C. Best Practices

  1. Department Management: Keep departmental data updated to reflect organizational changes promptly. This ensures that access controls and functionalities tied to department-specific operations like Mileage and Time Sheets remain accurate.
  2. Limit Access for Sensitive Settings: Restrict modifications of Mail Server settings, Organization details, and APIs to designated personnel or support staff only to prevent unauthorized changes that could impact system functionality or security.
  3. Audit and Documentation: Regularly audit Site Settings changes for compliance and keep detailed records of adjustments made, along with timestamps and admin user details.
  4. Training and Resources: Ensure all admins are well-trained on the features of the Site Settings > General section and provide them with resources or direct contact information for Support when advanced issues arise.

D. Troubleshooting

  • Invalid Changes not Saving: Verify that all inputs meet the system requirements, such as password complexity or valid department names. Check for any error messages that might indicate what went wrong.
  • Access Issues: If unable to access certain sections like Mail Server or API settings, confirm your admin permissions and ensure your account hasn’t been inactively flagged. If permissions are correct yet issues persist, contact Support.
