With mileage, there are many settings. This guide will provide details on what each of them does.
If your organization does not currently have the Expense Mode of our Mileage Module, please reach out to support.
Please note, you must be an admin to view these settings.
Settings changed here apply to all users using the Mileage module unless otherwise noted.
In this section, we will only discuss the individual items related to Expense/Mileage Mode. If you need the setting information for Classic Mileage Mode, please click here.
Require Account Code for Expense
When this is checked for the database, and the user has access to account codes under their profile (FIS tab), all Expense lines will require an account code upon submission.
If this is left unchecked, the account code lines will still be available to those who can see account codes, but it will not be a required setting.
Manage Vendors
You can Edit or Delete Vendor information here. You will be able to update the Vendor Name, Email, Address, and Phone information here. You also have the option to delete a Vendor here.
Note: The vendor number that is being used is what the user will need in their user profile in order to use Home/Work differential when not using FIS connection. If this needs setup please reach out to Support.
Expense Types
This will give admins the ability to customize the type of Expense that their users can choose from, whether they are inactive/active, and what their total monetary allotment is for that expense per day.
Adding a New Type
Click on the green 'NEW' text, this will add a blank line.
Text - Enter the text you wish staff members to see.
Active - Check the box if you want this type as active, keep it blank if you do not want it active.
Maximum - Set the maximum daily amount a user can use for this expense.
- If the max allowed value for a type is left at 0.00 there will be no maximum.
- If the max allowed value for a type is greater than zero, all items for that type within the same day must not exceed the specified maximum allowed value.
Once all the fields are added, click the save icon.
If you need to revert the change click on the revert icon .
Editing a Type
Click on the pencil icon next to the line that you want to edit. This will open the line as if you are adding a new type.
Make the changes and make sure to click save/revert in order to close up the line.
Deleting a Type
Click on the X icon next to the pencil icon. Please note that if the type has been used, it cannot be deleted. If it has been used, and you are unable to delete it, simply uncheck the active box to make it inactive. Users will no longer be able to choose it.
Note: Once changes are saved the user must also click the green Apply button in the top left corner
