Welcome to the client user guide designed to assist individuals in submitting evaluations for their Individual Professional Development Plan (IPDP). This document aims to outline the necessary steps for adding an evaluation to an approved IPDP plan within your district's system.
A. Problem Statement
Users may experience difficulties in submitting evaluations for their IPDP plans, particularly if they are unfamiliar with the system's functionality or face issues due to unapproved IPDP plans. This can prevent the successful addition of necessary evaluation details and hinder the approval process.
B. Solution
To effectively submit an evaluation for your IPDP plan, it is crucial to follow a prescribed set of steps that guides you through selecting the right IPDP plan, filling in required information, and attaching appropriate documents for approval. Ensuring the IPDP plan has been approved prior to attempting an evaluation submission is also key.
If your district requires an evaluation for your IPDP plan, please follow the steps listed below.
NOTE: If the button is not green, the selected IPDP plan has not been approved and cannot have an evaluation added.
1. Select the IPDP plan for which you wish to submit an activity hour and click Add Evaluation.
2. Fill in as required and click Save to submit for approval.
Work Assignment: Job assignment pertaining to the activity.
NOTE: If not on your form, your district has hidden it.
Title of Development: Title for your activity hour.
Location of Development: Where your development was held.
Attendance Dates: Add 1 or more dates.
Hours/CEUs: Total hours or CEUs.
Hour Type: Select CEU, Semester, Quarter, or Contact.
NOTE: The system will automatically convert to hours shown under IPDP manager screen.
Add Supporting Documents: Attach a PDF or any other image that is required for the activity.
Professional Development Type: Select 1 or more to which the activity applies.
Standards: Fill out as detailed in the evaluation.
Once approved, you will receive an email and the status will change to Approved in IPDP manager.
C. Best Practices
- Verify IPDP Plan Approval: Before adding an evaluation, ensure that your IPDP plan has been approved. Look for the Add Evaluation button to be green, indicating plan approval.
- Accurate and Complete Information Entry: Fill all required fields with accurate information. This includes job assignments, titles and locations of development activities, attendance dates, and hours or Continuing Education Units (CEUs).
- Attach Supporting Documents: Attach all required documentation, such as PDFs or images, that support your activity to provide proof and additional details.
- Review Before Saving: Double-check all entered information and attached files for accuracy before clicking Save to submit for approval.
D. Troubleshooting
- Unable to Add Evaluation: If you cannot add an evaluation because the Add Evaluation button is not green, check the approval status of your IPDP plan. If the plan is still pending, reach out to your administrator to inquire about the approval process.
- Missing Fields on Form: If expected fields are not present on your evaluation form, it is possible that your district has configured the form to hide these fields. Contact your district’s IPDP administrator for assistance or clarification.
- Document Upload Issues: If you experience difficulties uploading supporting documents, ensure that the file size and format are within the system's accepted parameters. If problems persist, try uploading from a different browser or device.
- Evaluation Submission Errors: Should there be errors or system glitches during submission, ensure all required fields are filled, and the system isn’t undergoing maintenance. If issues continue, document any error messages and contact Support.
