Welcome to the SCView user guide on creating an Individual Professional Development Plan (IPDP). This guide is designed to assist users in efficiently navigating the SCView platform to set up a new IPDP. Whether you are a first-time user or need a refresher, this guide will provide you with detailed instructions on managing your professional development through the IPDP module.
A. Problem Statement
Users may face challenges in creating and managing their IPDP plans due to unfamiliarity with the SCView system or restricted user permissions that limit access to necessary functionalities. This can lead to difficulties in meeting professional development requirements and maintaining accurate records of their activities and approvals.
B. Solution
To effectively create and manage an IPDP plan within SCView, users need to understand the process of navigating to the IPDP manager screen, properly filling out the necessary plan details, and submitting the plan for approval. Additionally, users should ensure they have the appropriate permissions to perform these actions.
1. Go to www.myscview.com to log in.
If you've never logged in before, please contact your admin for your username and initial password.
NOTE: Some actions listed below may not be available to you due to permissions to your account. If unable to do a process, please contact your admin to change your permissions to be able to do so.
2. Click on the Tools menu and select IPDP.
3. This screen is referred to as the IPDP manager screen. From here, you can create a new IPDP plan and see the status of your IPDP plans as well as Activity Hours that are submitted to your IPDP plan(s).
Add Plan: Create a new IPDP plan
Edit Plan: Edit an IPDP plan that is currently not in workflow
Delete Plan: Delete an IPDP plan that is currently not in workflow
Export
Export Plans Only: Export IPDP plans only
Export Plans and Approvals: Export IPDP plans along with activity hours
NOTE: Export is put into XLSX format. No images are exported.
Plan: IPDP Plan name
Status: Name of queue where the IPDP plan is currently or status of IPDP plan
User Name: User of the IPDP plan
Start Date: Start date of IPDP plan
End Date: End date of IPDP plan
Required Hours: Hours required for IPDP plan
Approved Hours: How many hours have been approved for submitted activity hours
% Complete: Percentage that has been completed for your IPDP plan
Approval Date: Displays the date by which the IPDP plan has been approved through workflow
Department: Displays the department that user is a part of
Building: Displays the building that user is a part of
4. Click Add Plan.
5. Fill in all required fields and click Save.
Plan Name: Name of the IPDP plan
Effective Start Date: When your IPDP plan starts
Plan Type: Type of IPDP plan
Department: Department the user is a part of
Building: This is customized by your district. If yours is not listed or you are unsure of what to select if there are multiple, reach out to an admin
Effective End Date: When your IPDP plan expires
Required Hours: How many hours are required. Default is 180 unless otherwise noted by your committee
Licensure/Certification Information: Click + and select 1 or more licensure/certifications to which this IPDP plan applies
Goals: Must enter at least 3 goals
After your plan has been submitted for approval, you will receive an email once it has been approved. You can view the document history of the IPDP plan by right-clicking and choosing View Doc History.
Right-Click Context Menu Options
- New: Allows you to create a new plan
- Edit: Allows you to edit an existing plan
- Delete: Allows for you to delete an existing plan
- View Doc History: Allows you to see the document history once the plan has been submitted for approval
- Manually Add Hours: Allows the user to manually add in hours to a plan
- Recalculate Hours: Allows IPDP admins and site admins to recalculate a plan's hours, allowing the plan to pull in data to verify the numbers are accurate
- Send for Revision: Send the plan back to the user for fixes based on the comment you leave
- Recall: Recalls the plan from the workflow
- Hide Expired Plans: This will clean up your grid by hiding any expired plans that may be there
Note: If anything in the context menu is grayed out, it means it is unable to be done for that plan, or you do not have permissions for that task.
C. Best Practices
- Ensure Proper Permissions: Before starting, verify that you have the necessary permissions to create, edit, and submit IPDP plans. If not, contact your administrator to adjust your account settings.
- Accurate Information Entry: Carefully fill in all required fields when creating a new plan. Accurate entry of start and end dates, required hours, and specific goals is crucial.
- Regular Updates and Reviews: Regularly update and review your IPDP plan to keep track of progress and make necessary adjustments. Use the Edit Plan function to update details or modify goals as needed.
- Documentation and Record Keeping: Utilize the Export functionality to keep offline records of your plans and approvals. Ensure all licensure and certification information is up-to-date and included in your IPDP.
D. Troubleshooting
- Access and Permission Issues: If you find yourself unable to create or edit an IPDP plan, check your user permissions. If the issue persists, contact your system administrator.
- Incorrect Information Submission: If errors occur after submitting your IPDP plan, review the plan details for any inaccuracies or missing information. Make necessary corrections and resubmit the plan.
- Technical Difficulties: For any technical issues such as delays or unresponsive pages, try refreshing the browser or clearing the cache. If problems continue, contact Support for assistance.
- Notification and Updates Delay: If you do not receive confirmation emails or updates regarding your IPDP status, verify your email settings and check your spam folder. Ensure that your email address in the system is correct.
