Introduction

SCView offers a customizable and efficient platform for handling custom forms necessary for various operational or administrative tasks. This guide provides a simple walkthrough to help you navigate through the process from filling out to submitting custom forms using SCView.

A. Problem Statement

Users often face challenges in locating, completing, and managing their custom forms within digital platforms. These challenges can include issues with starting a form, saving drafts for later completion, making necessary edits, and finally submitting or printing the completed forms.

B. Solution

SCView addresses these challenges through an intuitive interface that simplifies the form handling process. With features such as My Forms for accessing and managing forms, options to save drafts, and straightforward editing and submission processes, SCView makes form management accessible and user-friendly.

If you need to fill out and submit a custom form through SCView follow the guide below.

1. Click on Tools > My Forms.

2. Once you are on the My Forms page, click on New Form. This will populate a list of forms that are available for you to fill out.

3. Select the form you wish to fill out by clicking on its title. The form will load in a new window.

  • If you are logged in with your user credentials the form window will look like the image below.

  • If you are logged in either as a portal user or as an anonymous user, you will not have the capability to save the form as a draft. Additionally, you will be restricted from modifying the Department and Document Type fields, and you will not have the option to request an electronic signature upon submission. The interface will appear as depicted in the image below.

4. If you are unable to finish the form in one sitting, you may select the Save Draft button.  This will save the form and all of the information you have already filled out. When you are ready to begin the form again, go back to Tools > My Forms and verify that the Include Form Drafts checkbox is checked. You can then double-click on your saved draft form. This will take you back to your saved copy of the form you were previously working on.

5. If you need to make edits to a form, you can select your form and choose Edit Form.

6. After you have finished filling out the form you will click Submit, which will submit your form into the workflow.

7. If you wish to print a form, you can select a form and then select Batch Print. This will also allow you to print more than one form at a time.  To print more than one form, hold the Ctrl key on your keyboard while selecting the other forms you wish to print.

8. If you are an approver for a form and you wish to see forms that you have approved, you will need to be sure to have the Items I Affected checkbox selected.  This will allow you to see forms that have gone through your approval queue.

C. Best Practices

  • Regularly Save Drafts: To avoid losing data, make use of the Save Draft button frequently while filling out forms.
  • Verify Form Selection: Always double-check the form title you select to ensure you are working on the correct document.
  • Utilize Batch Print Options: For efficiency, use the Batch Print option when needing multiple forms.
  • Keep Track of Approved Items: If you are an approver, ensure the Items I Affected checkbox is marked to easily find forms you have interacted with.

D. Troubleshooting

  • Form Not Loading: Ensure your internet connection is stable. If the problem persists, try clearing your browser cache or restarting the browser.
  • Unable to Find Saved Drafts: Make sure the Include Form Drafts checkbox is checked under Tools > My Forms.
  • Issues with Submitting Forms: Confirm that all required fields in the form are filled out. Incomplete forms often cannot be submitted.
