Introduction

In SCView, managing leave requests efficiently is crucial for maintaining accurate employee records and ensuring compliance with organizational policies. However, sometimes it becomes necessary to undo a leave that has already been submitted through the system. This process requires precision to ensure that records both in SCView and USPS (United States Postal Service) remain synchronized.

A. Problem Statement

Users might occasionally need to undo a leave submission due to errors or changes in leave plans. The challenge arises because once a leave is submitted through SCView to USPS, the action needs to be meticulously reversed to maintain accurate and consistent data across the board. Directly deleting a leave in USPS without adjusting the records in SCView can lead to discrepancies in employee records.

B. Solution

The solution involves a systematic approach to resubmitting the leave request in SCView to reverse the action in USPS. By following a step-by-step guide, users can ensure that both systems reflect the updated status accurately, thereby preventing any data integrity issues.

NOTE: If you delete a leave directly through USPS that was submitted through our system, you must add it back manually before you can undo it.

This FAQ only applies to those that have access to Completed queue under Leave.

1. Go to your Completed queue under Leave workflow

If the item is no longer in Completed, you will need to send it back to workflow

2. Select the Leave you wish to undo and click "Resubmit to USPS"

If you do not have this button, please reach out to support

3. Click the greater than sign to reveal the lower items. Select the leave items you wish to undo and click OK.

After clicking OK, it can take up to one hour before it will complete the task. If successful, will go back to completed. If fails, the reason why it failed will appear in the History section of the document.

C. Best Practices

  1. Regular Training: Ensure all relevant personnel are trained on the proper procedure for resubmitting leave requests to avoid errors.
  2. Data Verification: Always double-check the details of the leave before initiating a resubmit to USPS to ensure accuracy.
  3. Access Controls: Restrict the ability to resubmit or undo leave requests only to authorized personnel to maintain control and prevent unauthorized changes.
  4. Timely Follow-up: Monitor the status of the resubmitted leave request up to completion to ensure it is processed without errors.

D. Troubleshooting

  • Issue with Button Visibility: If the "Resubmit to USPS" button is not visible, verify that you have the necessary permissions or roles within the system. Contact support if the issue persists.
  • Delayed Processing: If the resubmission takes longer than expected, ensure there are no system delays or connectivity issues. Patience is important as changes may take up to an hour to reflect.
  • Error Messages: If the system returns an error message after attempting to resubmit, consult the History section for a specific explanation and address the highlighted issues according to SCView guidelines or seek assistance from support.
