Checks printing is accessed through the Tools -> Checks menu. This is called the Check Manager page. Check printing is not currently available via Firefox web browser.


First thing that we need to do is click the Upload Checks button. Find your DAT or XML file that is generated from USAS using your normal process and then click Open.




There will be a Check Upload window displaying the file that we are importing. The Check Type should be auto selected based on the type of file you are uploading. You may have to change the Check Template depending on the check type being uploaded. Then click Import. The page will then refresh and only show the checks from that upload.



 


A check cannot be printed unless it is listed in the check manager page. Make sure that the check type drop down (1) is the correct type of check you wish to print. Select all of the checks that you want to include in your print run by checking the box on the left side of the grid (2). You can select all by selecting the checkbox above the grid rows. Alternatively, you can also select/deselect additional check rows by pressing CTRL+Left-click for a single item change, or by pressing SHIFT+Left-click for a range. The maximum number of checks is currently limited to 250.



 


Once you have the checks selected that you wish to print, you can choose to print normal checks or archive checks. Archive checks will contain archive messaging on the image and will not be able to be used by a vendor.


 


 


Print Checks


Clicking Print checks will provide the following popup:



Print File: Generates a print file of all standard pages of all checks selected. When the file is ready to go, a message will appear on the popup box (1) that provides the option to download the file or print directly from the browser.


Item Detail: Generates a print file of all overflow pages of all checks selected. When the file is ready to go, a message will appear on the popup box (1) that provides the option to download the file or print directly from the browser. 


CCD/PPD ACH File: Generates the required .txt file that needs sent to the financial institution to make payments. When the file is ready to go, a message will appear on the popup box (1) that provides the option to download the file or open.


VCD File: Generates the required .txt file that needs sent to the financial institution to make payments. When the file is ready to go, a message will appear on the popup box (1) that provides the option to download the file or open. 


Check Summary: Generates a printable list of check numbers, vendor names, and amounts for all checks selected. Will give the same prompt as in the screenshot above (1) to download or open in browser to print.


Sort Order: Prior to printing, the sort order can be updated. Checks can be sorted by either check number or payee name. Payroll checks get the additional option of department.


 


When you are done printing whatever items need printed, close the dialog with the close button.


 


 


Print Archive Checks


When printing archive checks, the popup window does not appear as with the print checks button. Instead, a small window appears in the upper right corner of the screen with the prompt to download or open the check file once generated.


 


 


 


On Demand Checks


On demand checks in SCView are used for emergency situations only. When an on demand check is created and printed, the record is NOT sent to USAS, forcing the person who created the check to hand-enter things into USAS. On demand checks are currently available for the Warrant type only. If more than one check design was provided, the different templates will be available for use with the on demand function.


After clicking the On Demand Check button, a popup window will appear with all of the details required to create an on demand check. All fields are required except for Memo and PO number. The vendor address field pulls from USAS. After the save button is clicked, the check will show up in the check manager page in the list of checks based on current sorting options. Simply select the check and choose one of the above options to physically print it. 


 


 


 


Troubleshooting


If you are having issues printing, check out some of the common issues below:


 


I aligned my check during testing, but now it doesn't fit properly


Check to make sure "Fit to page" is not enabled and that your scale is set to 100%. If the scale is not 100%, it shrinks the image.



 


My Print Checks button is no longer visible. What happened?


Your check type filter was set to (any) instead of the correct check type.



Select the correct check type and the buttons will reappear.


 


I can't find my check in the check manager.


The From Last filter is based on the check date not the posted date. Expand your From Last date to see if your check is now visible.



If you still cannot see your check, press the Clear Filter button to make sure it is not hidden due to filtering.
